MidDevon Digital builds bespoke job management systems and internal business software for companies in Devon and across the UK. Quotes, jobs, scheduling, customers, staff and invoicing in one place, with each person seeing what they need and nothing typed twice. Built to replace the spreadsheets and the off-the-shelf CRM that never fitted. Fixed quote, you own the code.

What job management software does, and why bespoke beats off the shelf

ob management software is the system that runs the work: it takes an enquiry through quote, job, scheduling, completion and invoice, and keeps customers, staff and history in one place. Off-the-shelf versions make you work their way. A bespoke system is built around the way your business already works, with the parts you need and none you don't.

There are plenty of job management products, and for a business that fits their mould they're fine. The trouble starts when your process has steps they don't have, or when you pay for forty features to use eight. A bespoke system does your job the way you do it, connects to the tools you already pay for, and grows as the business does.

One record from enquiry to invoice

A job starts as an enquiry, becomes a quote, is scheduled, gets done, and is invoiced. The same record moves through every stage, so nothing is retyped and the history is always there.

Everyone sees what they need

Office staff, managers, field teams and directors each get their own view. Role-based access means a new starter sees today's jobs, not the company accounts.

Scheduling that matches your rules

Gangs, vans, skills, travel time, recurring visits, whatever decides who does what in your business. The planner works your way rather than a generic calendar.

Reports you'd actually use

Jobs by status, margin by customer, hours by staff member, what's overdue. Built around the questions you ask on a Monday morning, not a dashboard full of charts nobody reads.

Who needs a bespoke job management system

Usually a business of five to fifty people where the process is the thing that makes it good.

Trades and contractors

Plumbers, electricians, scaffolders, groundworkers, builders. Jobs with phases, quotes with variations, teams on site and certificates at the end.

Commercial services

Cleaning, facilities, grounds maintenance, security. Recurring visits across many sites, staff attendance, client reporting.

Hire and equipment businesses

What's out, where it is, when it's due back, what needs servicing. Tracked against jobs and customers rather than in a spreadsheet.

Any business that's outgrown its spreadsheet

If the business runs on a workbook that only one person understands, that's the system. We just build the proper version of it.

What a bespoke job management system can include

Built to your process, so this list is a starting point rather than a feature sheet.

Quotes and variations

Quotes built from your price list, sent for approval, converted to jobs with one click. Variations tracked so the invoice matches the work.

Scheduling and planning

A planner built around how you allocate work: by gang, by van, by skill, by area. Recurring jobs handled automatically.

Customers and sites

Every customer with their sites, contacts, history, documents and terms. Searchable in seconds.

Staff, timesheets and attendance

Who worked where and for how long, from the field app or a browser, feeding payroll and job costing.

Invoicing linked to your accounts

Invoices raised from completed jobs and pushed to Xero or Sage, with payments pulled back so the office sees what's owed.

A field app when you need one

A mobile app for staff on site, connected securely to the web app. Job sheets, photos and signatures come straight back.

What every system we build includes

The foundations that make a system safe to run the business on, in every build.

  • Built on a widely used open-source framework, so any developer can maintain it
  • Role-based access for office, managers, field and admin
  • Hosted on its own dedicated server in your name, with a daily database backup
  • Your existing data imported, not retyped
  • Works in any browser on desktop, tablet and phone
  • Connections to Xero, Sage, calendars and payment providers
  • Training for your team before go-live
  • Hosting, backups and support on a monthly plan after launch

How a job management system gets built

Four stages, a fixed price, and the first working part in your hands early.

Step 1

Discovery

We follow a job through your business from first call to final invoice, and find where the time and the mistakes go. Best done at your place.

Step 2

Scope and fixed quote

Every screen and rule written down, with a fixed price and a realistic timeline. If an off-the-shelf product would do it for less, we say so.

Step 3

Build in stages

Customers and jobs first, then scheduling, then invoicing and reports. You run real work through each stage and tell us what's wrong while it's cheap to change.

Step 4

Launch and support

Data moved across, team trained, go live together. Then hosting, backups and support on a monthly plan, with new features scoped and quoted as you need them.

Recent project

Elite Cleaning: an office system built to replace software that never fitted

A Devon commercial cleaning company with 80 to 100 staff across more than 100 client sites. The office side of the portal gives managers a live view of cover, attendance and issues across every site, with timesheets flowing from the staff sign-in rather than being collected by hand. Peter built the first version while running the company, so it was designed by someone who had to use it.

Job management software questions

What is job management software?

Job management software is the system that runs the work in a business: enquiries, quotes, jobs, scheduling, staff, completion and invoicing, with customers and history in one place. Bespoke job management software is built for one business around its own process, rather than bought as a product and adapted.

Should I buy job management software or have it built?

Buy it if your process is standard and a product fits without workarounds. Have it built if your process is what makes you better than competitors, if you're paying for features you don't use, or if you're running two or three tools plus a spreadsheet to cover the gaps. We'll tell you honestly which applies after a discovery call.

How much does bespoke job management software cost?

It depends on the number of user types, how complex your scheduling and quoting rules are, and what it has to connect to. A system for a small trades firm is at the lower end; a multi-site operation with a field app and accounts integration is at the upper end. You get a fixed quote in writing after a free discovery call.

How long does it take to build?

It depends on the spec, how complex your scheduling and quoting rules are, what it connects to and our workload at the time, so the timeline is agreed in your quote rather than quoted as a standard figure. It's built in stages so you're using the first parts early, and larger systems with a mobile app take longer.

Can it connect to Xero or Sage?

Yes. Invoices raised in the system can be pushed to Xero or Sage, and payments pulled back, so the office sees what's owed without checking two places. We also connect to calendars, payment providers and existing websites where it helps.

Can staff use it on their phones?

The system works in a phone browser for occasional use. For teams who are properly out in the field, we build a mobile app for iOS and Android that connects securely to the office web app, so job sheets, photos, signatures and timesheets come straight back.

Will we lose our existing data?

No. Customers, jobs and history from your spreadsheets or old software are imported before go-live, and we check it with you. Nothing is retyped.
